PRIVACY AT A GLANCE

Clear About What We Collect and Why.

We only want information that helps us process purchases, deliver products and services, provide support, comply with legal obligations, keep the website secure, and improve the customer experience. This summary gives you the key points before the full policy below.

01

GUEST CHECKOUT

You donโ€™t need a Virtualfolio customer account. Order and delivery information is collected only as needed to complete and support your purchase.

02

MAYA HANDLES PAYMENT CREDENTIALS

Maya Business Payment Solutions processes online payment credentials. Virtualfolio does not intentionally collect or store full card numbers, CVVs, PINs, or OTPs.

03

WE DONโ€™T SELL PERSONAL DATA

Virtualfolio does not sell customersโ€™ personal information.

04

YOU HAVE PRIVACY RIGHTS

Depending on applicable law, you may request access, correction, deletion or blocking where appropriate, object to processing, request portability, or raise a privacy complaint.

This summary is for convenience. The complete Privacy Policy below explains our data practices in more detail.

01 / PRIVACY CONTROLLER

Who We Are

Virtualfolio Online Shop (โ€œVirtualfolio,โ€ โ€œwe,โ€ โ€œus,โ€ or โ€œourโ€) operates virtualfolio.shop.

This Privacy Policy explains how we handle personal data when you visit our website, purchase digital products, contact customer support, submit an inquiry, subscribe to marketing where applicable, or provide information for a custom portfolio project.

Virtualfolio is responsible for determining why and how personal data is processed for the activities described in this policy.

This Privacy Policy is a notice about our data practices. It does not mean that every processing activity is based on consent. Depending on the activity, personal data may be processed because it is necessary to fulfill a purchase or service, comply with a legal obligation, pursue a legitimate business interest where permitted, or because you have provided consent for a specific purpose such as marketing.

CLEAR PURPOSE, NOT BLANKET CONSENT

Where consent is required, we will ask for it for the relevant purpose. Where processing is necessary to fulfill an order, provide a requested service, maintain required business records, or meet another lawful obligation, a different legal basis may apply.

02 / PERSONAL DATA

Information We Collect

Information you provide

Depending on how you use Virtualfolio, you may provide information such as:

โ€ข name

โ€ข email address

โ€ข billing information and address

โ€ข order details

โ€ข invoice information when required

โ€ข customer-support messages

โ€ข contact or inquiry form submissions

โ€ข marketing preferences

โ€ข custom project briefs and project instructions

โ€ข files, links, images, copy, testimonials, work samples, brand assets, or other materials you submit for an approved custom project

Where tax or invoicing requirements require additional buyer information, we may collect only the information reasonably needed to prepare or support the applicable transaction record.

Payment and transaction information

Online payments are processed through Maya Business Payment Solutions.

Virtualfolio does not intentionally collect or store your full card number, CVV, PIN, or one-time password through our ordinary website forms or customer-support channels.

We may receive payment-related information necessary to manage an order, such as transaction status, amount, payment reference or transaction identifier, payment method information made available by the processor, and records needed for accounting, fraud prevention, support, refunds, or disputes.

NEVER SEND PAYMENT CREDENTIALS

Do not send your card PIN, CVV, full card number, account password, or one-time password to Virtualfolio by email, chat, contact form, or custom-project form.

Information collected automatically

When you browse the website, Virtualfolio and the technical services that support the website may process information such as your IP address, browser and device information, operating system, pages visited, referring page, approximate location derived from IP, timestamps, and technical or security logs.

The exact analytics or advertising information collected depends on the tools that are actually active on the website.

03 / PURPOSE & BASIS

Why We Use Your Information

Virtualfolio processes personal information only for declared business purposes and where an appropriate legal basis applies.

PURCHASES & SERVICES

To process orders, confirm payment status, deliver digital products, provide customer support, handle refunds or disputes, and perform an approved custom portfolio project.

LEGAL & BUSINESS OBLIGATIONS

To maintain transaction and invoice records, meet tax and accounting requirements, respond to lawful requests, prevent fraud, and comply with applicable legal obligations.

WEBSITE & SECURITY

To operate and secure the website, troubleshoot technical issues, prevent misuse, protect orders and systems, and understand website performance.

MARKETING

To send promotional or educational marketing when the applicable requirements for that processing are met. Marketing preferences can be changed or withdrawn as described in this policy.

We do not treat a purchase as permission to use personal data for every unrelated purpose.

Transactional communications needed to complete or support an order are separate from optional marketing communications.

04 / PURCHASE & PROJECT DATA

Digital Orders & Custom Portfolio Projects (coming soon)

Digital product records

Because Virtualfolio sells digital products, we may maintain information associated with a legitimate purchase, including order history, product purchased, delivery records, template-access information, support requests, file resends or replacements, refund records, license-related information, and transaction references.

These records help us deliver purchases, provide the included support, investigate access issues, prevent misuse, maintain required business records, and respond to legitimate customer concerns.

Custom portfolio project information - (coming soon)

If you purchase a custom portfolio service, we may process the information and materials needed to complete the approved project. This can include your name, role or business information, service details, portfolio copy, work examples, testimonials, brand files, images, logos, links, project preferences, feedback, correspondence, and other materials you choose to submit.

Please provide only information that is reasonably necessary for your project.

If project materials contain personal information about another personโ€”for example, a testimonial, client name, photograph, case study, or work sampleโ€”you should only provide that information where you have an appropriate right or permission to do so.

PROJECT MATERIALS ARE USED FOR THE PROJECT

Custom-project materials are used to communicate with you, produce the approved work, manage revisions and delivery, provide support, maintain reasonable project records, and protect the legitimate interests of both the client and Virtualfolio.

They are not automatically added to marketing campaigns or publicly displayed as portfolio examples solely because they were submitted for a project.

05 / COOKIES & TRACKING

Cookies, Analytics & Website Technologies

Virtualfolio uses website technologies that help the site function, remember necessary preferences, maintain cart and checkout features, protect the website, and understand how the site performs.

Some technologies are necessary for the website to operate. Others, such as optional analytics or advertising technologies, may collect additional information about how visitors interact with the website.

The exact tools described in this Privacy Policy should reflect the technologies that are actually active on virtualfolio.shop.

Essential technologies

Essential technologies may be used to support functions such as shopping cart and checkout behavior, payment processing, website security, fraud prevention, session management, load balancing, and other functions needed to provide the website or a service requested by the visitor.

Because these technologies are necessary for the requested website functionality, blocking them may cause some parts of the website to stop working correctly.

Analytics and optional tracking

If Virtualfolio uses optional analytics, advertising, heatmap, session-recording, or similar technologies, the Privacy Policy and any applicable cookie or consent controls will be updated to identify the relevant processing.

We will not list a tracking or advertising service in this policy simply because we may use it in the future.

YOUR PREFERENCES

Where consent or another user choice is required for a particular technology, Virtualfolio will provide the appropriate notice or preference control.

You may also be able to manage cookies through your browser settings, although disabling certain technologies may affect website functionality.

06 / COMMUNICATIONS

Transactional Emails & Marketing

Transactional communications

When you make a purchase, submit a project inquiry, request support, or work with Virtualfolio on an active project, we may send communications that are necessary to complete or support that interaction.

These can include payment or order confirmations, digital-delivery messages, project instructions, invoice-related communications, access-link support, revision or project correspondence, refund updates, security notices, and other service-related messages.

These transactional communications are separate from optional promotional marketing because they may be necessary to fulfill a purchase, respond to your request, or administer an active business relationship.

Marketing communications

Where permitted and where the applicable requirements are satisfied, Virtualfolio may send educational content, product updates, promotions, launch announcements, or other marketing communications.

You may unsubscribe from marketing communications using the unsubscribe option provided in the message or by contacting us.

Unsubscribing from marketing does not prevent Virtualfolio from sending communications that are necessary to fulfill or support an active purchase, project, legal obligation, or security matter.

PURCHASE โ‰  UNLIMITED MARKETING PERMISSION

Making a purchase does not automatically give Virtualfolio permission to use your personal information for every unrelated marketing purpose.

07 / SERVICE PROVIDERS

Maya & Other Companies That Help Us Operate

Virtualfolio uses third-party service providers to perform functions that we cannot reasonably provide entirely on our own.

These providers may process personal information only to the extent relevant to the service they perform and subject to their applicable terms, privacy obligations, contracts, and legal requirements.

Maya Business Payment Solutions

Virtualfolio uses Maya Business Payment Solutions to process online payments.

Maya and the applicable banking, card, or payment networks may process information required to authorize, secure, settle, refund, or investigate a transaction.

Virtualfolio may receive transaction information such as payment status, amount, reference identifiers, and other information reasonably needed for order fulfillment, accounting, fraud prevention, refunds, support, and payment disputes.

Virtualfolio does not intentionally collect or store full card numbers, CVVs, PINs, or one-time passwords through its normal website forms or support channels.

Website and commerce providers

Virtualfolio may use service providers for functions such as website hosting, ecommerce functionality, email delivery, customer communications, security, anti-spam protection, backups, analytics, file storage, and other technical operations.

The providers identified in the final published policy will reflect the services actually used by Virtualfolio.

Canva

Virtualfolio products and custom portfolio projects may use Canva as a third-party design and publishing platform.

When you open, edit, publish, or otherwise use a Canva design, Canva may process information under its own privacy policy and terms. Virtualfolio does not control Canvaโ€™s independent data-processing practices.

File-sharing services

For custom portfolio projects, you may be asked to provide project materials using a file-sharing or cloud-storage service.

If you choose to use a third-party platform to send those materials, that provider may separately process information under its own terms and privacy policy.

09 / RETENTION

How Long We Keep Information

Virtualfolio does not intend to keep personal information indefinitely simply because it was collected.

Retention depends on why the information was collected, whether the purpose remains active, applicable tax or legal requirements, support commitments, dispute or fraud-prevention needs, and whether continued retention is reasonably necessary.

Orders, payments and invoices

Transaction, accounting, invoice, payment, and related business records may be retained for the period required by applicable tax, accounting, ecommerce, and other legal obligations.

Customer support records

Support correspondence and access records may be retained for as long as reasonably necessary to provide the applicable support, investigate prior issues, prevent abuse, or maintain legitimate transaction records.

Marketing information

Marketing contact information may be retained while the relevant marketing relationship remains active or until you unsubscribe, object, withdraw applicable consent, or the information is no longer reasonably needed for the declared purpose, subject to legitimate legal recordkeeping where applicable.

Custom project materials

Virtualfolio may retain working custom-project materials for up to 24 months after final project delivery so that we can provide reasonable post-project support and maintain continuity if access or project questions arise.

After that period, working project materials may be deleted or archived in accordance with Virtualfolioโ€™s retention practices unless a longer period is reasonably required by law, an ongoing dispute, a contractual obligation, or another legitimate purpose.

This retention period does not mean that Virtualfolio promises to maintain every editable source file or third-party asset indefinitely.

Where appropriate, information may be deleted, anonymized, securely destroyed, or retained in a form that is no longer reasonably identifiable.

10 / YOUR RIGHTS

Your Data Privacy Rights

Subject to applicable law and the circumstances of the processing, you may exercise rights regarding your personal data.

RIGHT TO BE INFORMED

Know whether and how your personal information is being processed, including the purpose, basis, recipients, retention period, and relevant processing details.

RIGHT OF ACCESS

Request reasonable access to personal information about you that Virtualfolio processes.

RIGHT TO RECTIFICATION

Request correction of inaccurate, outdated, incomplete, or misleading personal information.

RIGHT TO OBJECT

Object to certain processing, including direct marketing and processing based on consent or legitimate interest where applicable.

RIGHT TO ERASURE OR BLOCKING

Request deletion, blocking, removal, or destruction where the legal conditions for that right are met.

RIGHT TO DATA PORTABILITY

Where applicable, obtain personal data you provided or qualifying observed data in a commonly used structured electronic format.

RIGHT TO WITHDRAW CONSENT

Where processing is based on consent, withdraw that consent for future processing, subject to other lawful bases that may still apply.

RIGHT TO COMPLAIN & SEEK REMEDIES

Raise a concern with Virtualfolio or file a complaint with the National Privacy Commission where appropriate, and exercise other remedies available under applicable law.

To submit a privacy request, contact hello@virtualfolio.shop.

We may ask for reasonable information to verify your identity before providing access, correcting data, deleting information, or acting on another privacy request. This helps prevent unauthorized people from obtaining or changing someone elseโ€™s information.

11 / SECURITY

How We Protect Personal Information

Virtualfolio uses reasonable organizational, physical, and technical safeguards appropriate to the nature of its operations and the personal information being processed.

Measures may include HTTPS/SSL, access controls, account-security practices, website and plugin maintenance, secure hosting, backups, anti-spam or security controls, restricted access to business records, and payment processing through Maya Business Payment Solutions.

NO ONLINE SYSTEM IS 100% RISK-FREE

While Virtualfolio takes reasonable steps to protect personal data, no website, email system, cloud platform, payment network, or online storage system can guarantee absolute security.

Personal data breaches

If Virtualfolio becomes aware of a personal data breach, we will assess the incident, take reasonable steps to contain and investigate it, preserve relevant information, address vulnerabilities where appropriate, and comply with applicable breach-notification requirements.

Where notification to the National Privacy Commission or affected data subjects is required, Virtualfolio will provide notification within the applicable legal timeframe and include the information required by law.

For qualifying breaches, applicable NPC rules can require notification within seventy-two (72) hours from knowledge of, or reasonable belief that, the relevant personal data breach has occurred.

HELP US KEEP YOUR DATA SAFE

Never send Virtualfolio your PIN, CVV, account password, full card number, or one-time password.

If you receive a suspicious communication claiming to represent Virtualfolio, contact us through the support details published on virtualfolio.shop before providing information.

12 / CHECKOUT

Guest Checkout & Your Email Address

Virtualfolio currently does not require customers to create a customer account to purchase digital products.

Orders are completed through guest checkout.

Because the email address entered during checkout may be used to send order confirmations, payment or delivery information, digital access, invoices or billing communications, and customer support, you are responsible for entering an email address that you can access and that is accurate.

Virtualfolio does not maintain a customer password simply because you made a guest purchase.

CHECK YOUR EMAIL BEFORE PAYMENT

An incorrect email address may delay digital delivery or make it harder for us to verify your purchase if you later need access support.

13 / UPDATES

Changes to This Privacy Policy

Virtualfolio may update this Privacy Policy when our business, website, technology, service providers, products, legal obligations, or data-processing activities change.

When the policy is materially updated, the revised version will be posted on this page with an updated effective date.

Where applicable law requires additional notice, consent, or an opportunity to object because of a material change in processing, Virtualfolio will provide the appropriate mechanism.

14 / CONTACT

When submitting a request, please explain what you need clearly enough for us to locate the relevant information.

For security reasons, we may request reasonable information to verify your identity before acting on a request involving access, correction, deletion, portability, or another data-subject right.

You may also have the right to raise a complaint with the National Privacy Commission where applicable.
